ADULT LEADERS RESPONSIBILITIES

TO LEAD A SCOUTING EVENT

The following checklists can be used by an adult who has volunteered to lead a Boy Scout event, such as a hike, a campout, an activity night, a merit badge trip, or any other event requiring the planning, organizing and leading of Boy Scouts.

SET THE EVENT

Work with the Scouts in their committee to help them decide what they want to do, when and where.  Provide ideas and guidance.

TYPE OF EVENT:  What type of event - hike, campout, activity, merit badge

DATE:  What time of year and pick a specific date

LOCATION:  Decide where the hike, campout or activity will be held

FLYER:  Prepare a flyer for the event

PURPOSE:  to learn a specific Scout skill, leadership or just for fun

TRIP PERMIT 

PERMIT:  Prepare a permit for the event, if required

SEND IN:  Submit the permit to Minsi Trails Council

FINAL COPY:  Mini Trails Council will send the permit back to you.

BRING PERMIT:  Bring the permit with you on the trip

BLANK COPY:  Attached is an attached blank copy of a permit to use

WHEN REQUIRED:  Refer to attached permit information

SCOUTS ATTENDING

LIMITED OR ALL:  Define on your flyer if the trip is open to all Boy Scouts or if it is intended only for a select group, such as First Year Scouts, Older Scout Leaders, or Senior Scouts.  If it is a select group, define ranks or ages that may attend.

SIGN-UP:  Come to troop meetings about one month in advance of the event to advertise the event.  Provide a sign-up sheet for Scouts at the troop meetings.

SCOUT LEADERSHIP

BOY LEADER:  Every activity and event should have a Senior Boy Scout “in charge” of the event.  Work with the Scout Committees, Senior Patrol Leader or Adult Scout Leaders to determine the Senior Scout that will be in charge of the event.

SENIOR SCOUT INVOLVEMENT:  The goal is for the adult in charge of the event to actually do very little of the work to plan, organize and run the event.  The responsibility of the adult is to ensure that the Senior Scout(s) work out the plan and organize the event.  The amount of work that the Senior Scout(s) will be able to do will depend on their age and experience.

TRANSPORTATION

Arrange transportation with other adults for the event, including directions.

TWO-DEEP LEADERSHIP

We will follow the Boy Scout requirement to have at least two adults accompany the Scouts on all events.  It is better to have at least 3 adults in case there is an emergency.

Determine what expendable camping items are needed (to be purchased)

Determine if a supply of wood needs to be brought

Buy all Food & Regular Supplies & Special Supplies

Make sure you know where closest hospital is to camp site

FIRST DAY OF CAMPOUT

Bring Attendance Roster & Phone # of All Scouts & Take Role

Collect all Permission Slips (those not already in place)

Collect all money from Scouts & Parents attending

Collect shopping receipts for food & supplies

Select Equipment from Shed to Take

Make sure you have first aid equipment & cellular phone

Divide Equipment up into various cars

Make sure all drivers have maps, directions of Camp Site

Make sure all drivers have emergency phone number

Make sure you bring any special equipment for activities

Make sure you have a minimum of two adults on every activity

AT END OF CAMPOUT

Tents to be assigned to Scouts – must take home and dry out & clean

Tents turned back in to QM at next meeting – clean and dry

All equipment returned to shed and put in order

Send list of Scouts who participated to Troop Advancement Chairman
